Location: Livermore, California area. All applicants must be commuting to Livermore, CA. Potential duties within the San Francisco Bay Area may occur. Please do not apply if you cannot commute to Livermore.

Overview

We are seeking a highly organized, proactive, and resourceful Office Manager & Executive Assistant to support our executive leadership team while ensuring smooth day-to-day operations of the office. This dual-role position is ideal for a professional who excels at managing administrative functions, coordinating executive schedules, and fostering a productive office environment.

Essential Job Function And Responsibilities

Executive Support (approx. 50%)

  • Manage and maintain the executive calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, presentations, reports, and other documents for internal and external use.
  • Attend meetings, take minutes, and track action items as needed.
  • Serve as a liaison between executives and internal/external stakeholders.
  • Handle confidential information with discretion and professionalism.

Office Management (approx. 50%)

  • Oversee daily office operations to ensure a clean, efficient, stocked, and productive work environment.
  • Manage office supplies, equipment, vendor relationships, and service contracts.
  • Coordinate office events, team meetings, and company-wide communications.
  • Implement and improve administrative systems, processes, and policies.
  • Onboard new hires in coordination with HR and IT; manage office access, seating, and equipment needs.
  • Serve as the go-to point of contact for facilities-related issues.
  • Other duties as assigned as it relates to both Office Management and Executive Assistant responsibilities.

Requirements

  • Proven experience as an Executive Assistant, Office Manager, or in a similar hybrid administrative role.
  • Exceptional organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • High level of discretion and emotional intelligence.
  • Proficiency in Microsoft Office Suite, Google Workspace, and video conferencing tools.
  • Ability to adapt quickly in a fast-paced environment and manage shifting priorities.
  • Proficiency with MS Office tools (e.g., Word, Excel (pivot tables a plus!), etc)..

Desired Skills/Abilities

  • Bachelor’s degree in Business Administration, Communications, or related field.
  • Experience working with C-level executives.
