What You Need

  • Associate’s Degree in Human Resources, Business Administration or related field of study and one (1) to three (3) years’ experience in human resources or administration settings preferred; or any combination of training, education and experience which would provide the required knowledge, abilities and skills to successfully perform in this role.
  • Working knowledge of HR laws, regulations and best practices, preferred.
  • Proficiency in Microsoft Office Suite, required.
  • Adept at prioritizing, multi-tasking, and problem solving in a deadline-oriented environment.
  • Ability to exhibit a high level of confidentiality, professionalism and discretion.
  • Excellent proven communication skills in English (required) and Spanish (preferred).
  • Ability to maintain sensitivity to our target population’s cultural and socioeconomic characteristics.

Essential Duties and Responsibilities

  • Maintain strict confidentially of all personnel matters.
  • Provides on-time and quality customer service by quickly responding to inquiries, via phone, email or fax.
  • Schedules meetings and appointments, processes department purchases.
  • Performs administrative and clerical work for the HR Department, focusing on new employee orientation and onboarding function.
  • Assists in the creation, upkeep, and editing of HR-related documents, presentations and reports.
  • Enters and updates all employee change/transactions/information into company HRIS database.
  • Coordinate and schedule frequent New Employee Orientation (NEO) onboarding training, including preparing the agenda in advance, preparing onboarding NEO booklets, processing new hire paperwork, and scheduling and emailing the agenda to all NEO facilitators to ensure a smooth and uninterrupted training for all new hires.
  • Conduct and/or assist with record audits and mandatory reports, which may include I-9 audits, e-Verify, EEO-1 filings, accreditation, and other compliance reviews.
  • Process employee termination documentation and filing including updating the HRIS systems and proper processing/scanning of employee inactive files and sending proper weekly notification to Payroll and related processes.
  • Prepares, maintains and files employee records including, but not limited to verifying employment, separation, contracts in compliance with the organization’s policies, salary changes, etc.
  • Ensure all personnel record documentation is up-to-date and properly filed (weekly) and in compliance with employment laws, licensing, contractual and accreditation requirements, etc.
  • Periodically audits the personnel database to ensure accuracy.
  • Track and maintain key and property request forms.
  • Maintain the HR Archives Records Room in orderly and clean manner including filing of all employee active/inactive documents on a weekly basis.
  • Regularly scan employee termination files and schedules shredding of old files as per policies.
  • Assist with department employee relations activities, as needed.
  • Assist in taking meeting minutes and support coordinate with the Employee Recognition Program (prepare/process award certificates, plaques, pins, gift cards, etc.).
  • Prepare, reconcile and monitor the department’s monthly credit card expenses including entering into the Financial Portal as required.
  • Purchase department office materials, equipment, trainings, etc. as required.
